Information for Instructors: WCC ERes Electronic Reserves
- What is ERes?
ERes is the software system that the WCC Library uses to provide digital reserves to students.
- What kinds of documents or files can be put on ERes?
Anything that can be delivered over the World Wide Web in digital format can be put on ERes.
Most documents are scanned and delivered as PDF files, but ERes can accommodate word files, sound files,
image files, and movie files - anything in digital form. Two things to remember:
- Very large files take a very long time to download over a dial-up connection - will it be practical
to expect students to download huge files? Reserve staff can separate text documents into smaller files,
but sound, image and other files may not be able to be parceled out into smaller files.
- Students must have the plug-ins or software to read the files on whatever computer they are using.
Adobe PDF readers, Real Player, Web browsers can be downloaded free from the web and/or come with standard
operating systems. Not everyone uses Microsoft Word as their word processor, and specialized formats may
require specialized software.
- Who does the Scanning or digitization of the files?
Reserve staff will scan photocopies of existing documents for instructors. Reserve staff can also accept
"born digital" files if instructors have them in that format. For analog to digital sound files, please
speak to Reserve staff. If you have non-digital syllabi, labs, assignments, or other non-copyrighted text
files, Reserve staff can usually scan them and convert them back to an editable text file if editing and
updating is needed.

- Bottom line: Unless permission is requested and granted by the copyright holder for further use
(which may or may not involve licensing fees), instructors may put portions of copyrighted materials on
reserve for ONE SEMESTER.
- How do I or my students get access to ERes?
The web address for ERes is
http://charn.wccnet.edu/eres/. Students can search by instructor,
course, or document title. There is a link from the Library Reserve page (go to the library home page,
then click on Reserves in the left navigation menu.) Instructors will also receive a direct link to
their ERes course reserve page that they can put in Blackboard, link to from their
personal pages, or include in their printed syllabi.
- Why do my ERes course pages need a password?
For copyrighted materials in digital format, passwording the documents ensures that only students in the class
have access - that WCC is not "publishing" a digital document on the web. This makes publishers and copyright
holders happier about digital reserves. There is one password for the class as a whole (not one for each
individual student). You will receive your course password to give to your classes when your course page
is created. You are responsible for giving your students (and only your students or other instructors teaching
with you) the class password. Passwords will change every semester. Library staff can help with passwords
during open library hours.
- What if I am willing to pay for licensing fees for continued use of copyrighted materials?
See Reserves staff as soon as possible, so we can start the process of requesting permission and pricing. The
Library will not pay for permissions and licensing fees - the departments or instructors must provide the
funds before the documents are used outside of fair use parameters.
- When will my files or documents be available after I submit them?
All Reserve materials (digital and hard copy) are processed in a first-come, first-served order. If you want
materials to be available by a certain date, plan ahead and deliver them in plenty of time to be scanned and
uploaded; or processed and put on the shelf.
- If I need documents scanned, how should I submit them?
All documents to be scanned should be submitted on white 8.5 by 11 paper, with no black borders around the
pages (everyone complains a lot if messy reproductions use up all their toner or ink). We can accept
double-sided documents, but the quality for all photocopies must be good. If you have documents (color photos,
cartoons, etc.) with special requirements, see the Reserves staff member.
- Why do other libraries have different rules about documents and files on Reserve, digital or not?
The copyright and reserve policies of the WCC Library have been developed by consulting with WCC College
Counsel, by using publications intended to guide academic libraries in their use of reserve services, and
follow accepted practice among many other libraries. Our goal is to make sure that no one at WCC is sued for
copyright infringement.
